Plan Your Wedding Reception Layout Around Live Music

Your venue and planner lead the reception layout. Soulution confirms what the band needs within that plan, so the performance space, equipment access, and music in each location can come together before the wedding.

Start with the venue’s plan

Tell your venue and planner that you are having a live band. They can plan the room around your celebration, including the dance floor, tables, bar, seating, and guest routes. Share any priorities, such as having dinner and dancing in different spaces, with that team.

Once there is a proposed layout, send the existing floor plan and photos to Soulution. These are generally enough for the band to review the setup. You do not need to produce a custom technical drawing. The venue, planner, and band can work through the setup details together.

Confirm the band’s performance area

Soulution needs at least 12 by 16 feet for its standard six-, seven-, and eight-piece lineups. Confirm the space for any larger custom lineup separately. The performance surface must be flat, solid, and dry.

A raised stage is not required on a suitable floor, and the band does not supply a stage. If the proposed location needs a platform, have the venue or rental company coordinate it with the band. Our wedding venue checklist covers surfaces and other venue requirements in more detail.

The band will also review speaker placement. Speakers may sit offstage, with their position worked out around guest seating and the dance floor. Soulution’s sound engineer moves around with an iPad, so there is no separate sound desk, table, or operating area to add to the room plan.

Give the venue and band these details

Use this checklist when sharing the proposed layout. The venue, planner, and band can confirm their parts directly.

Room layoutThe venue and planner’s proposed arrangement, plus photos of the performance area.
Band areaThe space and suitable surface for your confirmed lineup, with speaker placement reviewed by the band.

Equipment accessA rollable route to the performance area. Flag stairs, grass, gravel, or other loading obstacles in advance.
Music locationsEach space needing music or microphones, and any additional equipment required.
Room changesAny room flip or band move, including when the space becomes available and where equipment can wait.

Plan for more than one space

List where your ceremony, cocktail hour, dinner, and dancing will happen, and which moments need music or announcements. Soulution can accommodate multiple locations, but separate speakers or microphones may require additions. Cocktail music playback through the main setup is included; a separate cocktail location is an add-on. Discuss the arrangement with the band so each location has an agreed plan.

Room flips are possible with advance coordination. The band would like equipment staged out of sight while the room changes. Moving the full band also takes time, so discuss any relocation before putting it into your schedule. If a weather backup changes the performance location, include that space in the same conversation.

Keep the planning team up to date

After booking, use Soulution’s planning page to gather your details. The final-details call takes place two weeks before the wedding. If your venue or planner changes the band area, access route, or music locations along the way, share the updated plan so the band can review what has changed.

Share your date and venue to start the conversation. A floor plan is welcome if you have one.

Common questions

Who decides where the band and dance floor go?

Your venue and planner lead the room layout. Soulution reviews the proposed performance area and confirms the band’s setup needs, including speaker placement, power, and access.

Do we need a floor plan before contacting Soulution?

No. Start with your date and venue. If you already have a floor plan, you are welcome to share it. The venue’s plan and photos are generally enough for a setup review as planning progresses.

Can we move the band after dinner?

Discuss the move with Soulution and your planner in advance. Relocating the full band takes time, so the equipment route, available space, and schedule need to be coordinated before the move is part of your plan.
