Plan your outdoor wedding music and backup space
Tell us where you want the music and what the weather backup will be. We’ll review surfaces, shelter, rentals, and timing with you before the wedding.
Review the outdoor space and backup together
Send photos or a floor plan showing where you want the music and dancing. We can start reviewing the outdoor setup from those.
Check the backup space just as carefully. Confirm it’s available and has room for the reception, band, and dancing. A room that briefly shelters guests from a shower may not fit the whole evening.
For weather protection at an outdoor-only venue, we need a raised stage and a tent with sidewalls. Arrange those with the venue and rental company ahead of time. Discuss what happens if conditions make an outdoor event unsuitable.
Give the band a solid place to play
We need a flat, solid, dry surface, such as a suitable floor, deck, or patio. We can’t set up directly on grass, gravel, dirt, sand, or mulch. Those locations need a stage. We don’t provide one, so ask the venue for rental recommendations and have us review the plan before ordering.
Check the route too. Equipment needs a route it can roll along. Flag grass, gravel, stairs, or other access issues, including the route to the backup space.
Match the setup to the conditions
Overhead cover isn’t required for every outdoor performance, but we and our equipment need to stay dry. Review the location and expected conditions with us before confirming rentals.
| Condition | What to do |
|---|---|
| Grass, gravel, dirt, sand, or mulch | Arrange a stage with a rental company. We can’t set up directly on these surfaces. |
| Temperatures above 90°F | We strongly prefer shade or cover from direct sun because equipment can overheat, shut down, or be damaged. |
| Temperatures below 50°F | Sidewalls and heaters are required for the performance area. Have the rental company supply and install them. |
| An outdoor-only venue needing weather protection | Arrange a raised stage and tent with sidewalls. Review backup options with us and the venue. |
| Power needs at an outdoor location | Review power with us. We can help discuss generator options if needed. |
These temperature requirements reflect the needs of the musicians and equipment.
A weather-protection tent isn’t a storm shelter. The National Weather Service advises that tents and open-sided shelters are not safe during lightning. Follow your venue’s shelter arrangements and storm procedures.
Arrange rentals before the wedding day
We can choose between the planned locations at arrival, but rentals need arranging earlier. Confirm tents, stages, sidewalls, and heaters with the venue and rental company. Check where they’ll be installed and whether the backup is ready too.
We can discuss generator options. For other rentals, start with the venue’s recommendations and the rental company’s advice, then send us the plan before confirming it.
Choose the setup when the band arrives
We normally arrive two hours before guests. Review that day’s conditions with us, the venue, and your planner, then choose from the setups already arranged. Deciding before equipment is installed avoids relying on a later move.
The final planning call includes you two weeks before the wedding. We can review both versions of the day and confirm these details:
- We and the venue have reviewed both locations and layouts.
- The backup is available and required rentals will be ready.
- The selected space has suitable access, power, and music coverage.
- We, the venue, and your planner know how to make and share the setup decision.
If the weather changes after setup
If weather changes after setup, we’ll try to relocate when needed. Moving the full setup takes time. Choosing a workable backup early is better than depending on a quick move during the reception.
We’ll try to play recorded music while securing or moving equipment when it’s safe and practical. Music may still need to pause.
Include the ceremony and cocktail hour in the plan
The same surface, shelter, and weather considerations apply to smaller ceremony and cocktail setups. Show us every music location and where each would move if needed.
Recorded cocktail music is included when it uses the main reception setup. Separate spaces may need more equipment and coverage. Ceremony music is arranged separately. Discuss every location so the plan matches the spaces you’ll use.
Use the live-band venue checklist for the rest of your setup questions. To get started, tell us about your outdoor wedding. We can review the setup and backup before booking.
Common questions
Does an outdoor wedding band always need a tent?
No. Cover isn’t required for every outdoor performance. Above 90°F, we strongly prefer shade to protect equipment. Below 50°F, sidewalls and heaters are required. For weather protection at an outdoor-only venue, we need a raised stage and tent with sidewalls. Have us review the location before ordering rentals.
When do we decide whether the band sets up outside or in the backup space?
Choose with us, the venue, and your planner when we arrive, normally two hours before guests. Review both setups and arrange rentals beforehand so either option is ready.
Will there be music if we need to change locations?
We’ll try to keep recorded music playing while equipment is secured or moved, where safe and practical. Moving the full setup takes time, and music may need to pause. A ready backup helps us respond.
