Corporate Event Music Run of Show
Plan the music around your guests and your program. Soulution can support conversation, guide announcements, bring energy to awards and carry the celebration into the evening.
Start with what guests should be doing
A corporate event often moves from conversation to focused attention and back again. Guests may arrive ready to catch up with colleagues, settle in for dinner, listen to a presentation and celebrate together afterward. Music should support each part of that experience.
Tell Soulution which moments matter most. A smaller group can play instrumental background music while guests mingle quietly. Later, the band can become the focus for dancing or a performance guests enjoy from their seats. An evening can be a success whether people spend it on the dance floor or talking and listening.
A typical evening with Soulution
A common flow is arrival and cocktail music, announcements, dinner, a presentation and then dancing. Use this sample as a starting point for your run of show, the working timeline shared with your event team. Change the order and leave out anything your event does not need.
| Part of the evening | Music and audio | What to plan |
|---|---|---|
| Arrival and mingling | Background music, with a smaller instrumental group for quieter conversation. | Guest arrival and the atmosphere you want. |
| Welcome and announcements | Music pauses and the MC helps guide guests. | Who speaks, key names and the next activity. |
| Dinner | Music supports conversation around the tables. | Meal service and when attention turns to the program. |
| Presentations and awards | Microphones, presentation audio and live introductions or recorded walk-up music. | Speaking order, playback and each musical cue. |
| Celebration | The band plays for dancing or an audience enjoying the performance. | Musical direction and the transition from the formal program. |
| Closing | A final song and any closing announcement. | The finish and what guests need to know before leaving. |
Bring speeches, awards and presentations into the plan
Soulution includes a sound engineer, sound system, lighting, microphones and recorded break music. MC service is included too, helping guide guests through the night and connect the different parts of your program.
For awards, you can use live musical introductions or recorded walk-up music. Soulution has acted as a late-night-show style band for awards shows, using music to support the presentations. Share the award order, names and pronunciations, and where you want each musical moment to begin and end.
Presentation or video audio can play through the band's sound system. Add those moments to the plan so the band knows when the room needs to listen, when playback begins and when music should return. Include the speaker's introduction and any announcement that helps guests follow what happens next.
Let the schedule and the audience guide the music
Sets and breaks are arranged around your event timeline. If dinner runs late or a presentation takes longer, the band works with the changing program. Keep the band informed as decisions happen, especially when the next speech or activity is ready to begin.
Share the genres, artists and songs you enjoy, or use a Spotify playlist to explain your taste. Clean versions are the default, and do-not-play choices apply across live, recorded and DJ music. If guests prefer conversation or watching the band to dancing, Soulution can adapt the performance to the audience and the purpose of the event.
Use your custom event planning page
Soulution provides a custom planning page for your event. Use it to gather the details as they develop. These optional prompts give you a copyable starting point within that page:
- Event basics: Date, venue, approximate guest count and purpose.
- Guest arrival: When guests enter and where they will gather.
- Program: The order of dinner, announcements, presentations, awards and music.
- Speaking and playback: Names, introductions, video audio and walk-up music.
- Music: Favorite styles, requests and do-not-play choices.
- Coordination: Who can update the band when the schedule changes.
- Final details: Dress code, closing announcement and finish.
The final call about two weeks before the event is a chance to walk through the evening with the band. Review the sequence, musical cues and any remaining decisions together so the plan reflects the event you are actually hosting.
Plan setup around guest arrival
Plan for the band to arrive and begin setup two hours before guests arrive, even if the featured performance comes later. Early setup is no problem. Coordinate access with the venue around guest arrival so setup fits the beginning of your event.
The band also adapts its attire to your event's dress code. All black is the most common choice. Explore Soulution's corporate event music and live performances as you picture the atmosphere and musical direction for your evening.
Common questions
Can a live band work around speeches and awards?
Yes. Soulution plans sets and breaks around your program and can adjust when the schedule changes. MC service is included, and awards can feature live musical introductions or recorded walk-up music. Share the order and cues through your custom event planning page.
Does booking the band include microphones and presentation audio?
Yes. Microphones, the sound system and a sound engineer are included, along with lighting and recorded break music. Presentation or video audio can play through the band's sound system. Share the planned playback moments so they can be coordinated with the program.
What if our guests prefer conversation to dancing?
That is fine. A smaller instrumental group can provide background music for quieter mingling, and the band can adapt to guests who prefer listening or watching. Tell Soulution what you want the evening to accomplish so the music supports it.
Plan the music for your next event.
Share your date, venue and draft agenda. The band will help you plan music for the evening you have in mind.
